Information used by the pilot

MerryVill handles tester phone numbers, account identifiers and sign-in sessions; profile names, photos, and Helper details; work descriptions, addresses, contact numbers, proposed prices and schedules; applications, invitations, matching and completion records; and job conversations. Provide only information needed for your request or profile.

Addresses and current location

You can type and select an address, or choose Use my current location. Location is requested only when you press that button and allow browser access; it is not continuously tracked. Current location is used to identify your request’s work location and to compare it with photo coordinates. The device’s accuracy and timestamp are checked. You must check the suggested address and confirm that you are at the work site.

Typed address searches and coordinates used for address suggestions are sent to Photon, which uses OpenStreetMap data. A nearby result may not be your exact address. The confirmed coordinate is used to create a shifted public area of approximately 200 m radius; the displayed center is not intended to mark your home.

Photos and their metadata

The original file is read on your device. A compressed JPEG is uploaded instead of the original. For request photos, the recorded shooting coordinates, original capture time, and timezone offset, when available, are extracted before compression and stored separately for eligibility checks. These metadata are not included in the photo files served to other users.

Compressed request photos and the work description are sent to OpenAI through a Supabase function for safety and relevance checks. The extracted GPS and capture-time fields are not sent as part of that AI review request. Location and time checks run separately. Checks can be wrong and cannot establish that a photo is genuine.

Who can see information

In the current pilot, signed-in testers can see available profiles and community job details, photos, and approximate locations. Direct invitations are limited to the relevant participants while private; completed work can appear in community views and Helper histories. Exact job addresses and contact numbers are available to the Requester and the confirmed Helper. Job conversations are shared between those participants. Do not put private contact details in public profile text, work descriptions, or photos.

The administrator dashboard displays aggregate activity. The organizer and hosting/database providers have operational access needed to run and troubleshoot the service.

Service providers

Sites/Cloudflare host the application and photo storage; Supabase stores records and runs the photo-review function; OpenAI processes review submissions; Photon provides address lookup; and OpenStreetMap provides map data and tiles. Opening maps can make requests from your browser to the map provider. These providers may handle technical request data under their own policies. MerryVill does not use an advertising or sponsorship integration in this pilot.

Cookies and usage counts

Secure cookies support sign-in and a separate administrator session. A visitor cookie supports daily browser counts. Browser and signed-in account identifiers are transformed into daily pseudonymous values for usage statistics. App-level daily tracking does not store IP addresses or precise locations. Hosting providers may maintain technical logs. Clearing cookies or using another browser can change visitor counts.

Sign-in sessions last up to eight hours in the current test mode. The visitor cookie lasts up to 90 days. Daily usage rows older than 90 days are cleaned up when later visits are recorded. Job-event totals are retained separately.

Retention, correction, and deletion

Profiles, work records, uploaded photos, extracted photo metadata, and job conversations currently have no automatic expiry in the pilot. Removing a photo from a form does not delete the stored upload. Deleting a cancelled job removes that job record from the app, but does not automatically erase uploaded photos or historical activity counts.

To request account or data deletion, contact the pilot organizer. Requests need manual review; the app does not yet provide self-service account deletion or a fixed deletion timetable. Provider logs and backups may follow separate retention periods.
